Answers for the road ahead.

Find out what happens before travel, during a trip and when it is time to settle the costs. For complete instructions, use the how-to guide.

What is available now?

Can employees request travel without the Android app?

Yes. Sign in on the web, open Trip requests → New trip request, choose locations and dates, review the estimate and save a draft or submit. My trip requests contains only your own records. Company-wide approvals, administration, payments and billing require the relevant permissions. The web does not record GPS, capture receipts or prepare final claims. Private Android access is required for those functions; no public Android installer or iPhone app is available.

What happens after the free trial?

Every workspace starts with a 14-day Professional trial, with no card needed. Without a paid subscription, Starter applies afterwards: 50 active employees, 500 requests/month and basic features. Professional has a trial/default capacity of 200 employees and 2,000 requests/month and adds advanced reporting, fraud indicators, bulk import, API access and accounting sync. Purchased seats cap paid active accounts. Records are retained when paid features stop.

Why does Company profile show 200 employees during the trial?

The trial grants Professional limits. Those are plan ceilings, not included purchased seats. After buying seats the active account cap is the purchased quantity. Read Billing & plan for your effective subscription and tax-aware price. South African Professional seats are R49 each per month before tax; two seats are R98 net and, if 15% VAT applies, R112.70 gross.

Is my email verified at signup?

No. Workspace signup currently does not send an email-verification code or require mailbox verification. Check your work email carefully. Employee invitations use expiring, single-use password-setup links; the valid link shows the company, workspace code and sign-in email.

Read the role and permission definitions, plan and trial guide, required setup fields and company administration steps.

Accounts and access

Should I create a new company or join an existing one?

Create a workspace only if you are setting up Voyage for your company. If your employer already uses it, ask your administrator for an invitation and workspace code. Creating another workspace will not give you access to the existing company.

Read the step-by-step instructions
What is the workspace code used for?

The workspace code identifies your company. On mobile, enter the company code supplied by your administrator and verify the company name before signing in. Keep it with your internal onboarding instructions.

Where do employees, managers and finance work?

Employees can create, save and submit their own trip requests on the web and view their decisions under My trip requests. GPS recording, receipt capture and final claim preparation currently need private Android access. No public Android installer or iPhone app is available. The web administration area supports company setup, employee access, request approvals, payment records and subscription management. Available menus and actions depend on your permissions and plan.

Read the step-by-step instructions
Why can I not see a page or another employee’s request?

Access control determines both the actions you may take and whose data you may see. A manager does not automatically have every finance or administrator permission. Ask your company administrator to review your assigned role and data scope.

Read the step-by-step instructions
How do I reset my password?

Use Forgot password on the sign-in screen and enter your account email. Check your inbox and junk folder, then use the latest reset link. Request a new link if it has expired. An inactive account or incorrect company selection needs your administrator’s help.

Requests and travel

Can I save a request before submitting it?

Yes. On the web, review your estimate and choose Save as draft. My trip requests shows saved drafts. Private Android also has its own draft flow. Check the itinerary, dates, purpose and funding choice before submitting. A draft or a change waiting to sync is not travel approval.

Read the step-by-step instructions
Can one request include several destinations?

The web currently supports one destination with an optional return. With private Android access, choose the relevant journey type and add destinations in Plan your route. Check dates, transport and addresses for every leg. The estimate accounts for the journey rather than just the last destination.

Read the step-by-step instructions
Does approval mean my advance has been paid?

No. Travel approval, advance approval and payment recording are separate steps. Check Approval Progress and the Payment section of your request. Finance must arrange the actual transfer and record it.

Read the step-by-step instructions
Is the planned distance the amount I will be reimbursed?

No. The requested route produces a pre-trip estimate using company settings. Automatic actual-mileage assessment uses accepted GPS evidence uploaded from the trip and the applicable saved rate. Finance reviews the final claim and receipts.

Read the step-by-step instructions
Why can GPS mileage be blocked or need review?

Insufficient samples, gaps, implausible movement, mismatched endpoints or mock-location indicators can prevent automatic assessment. Passenger and unattributable mixed-mode mileage are not automatically paid. Sync remaining fixes and ask finance to review the displayed result; do not add a manual mileage expense.

Read the step-by-step instructions
Does Voyage guarantee tax compliance or a particular mileage rate?

No. Company settings and travel policies determine the applicable rates and limits. Mileage evidence and expense records support review; your company remains responsible for applying current tax rules and obtaining professional advice where needed.

Expenses, advances and settlement

Does Voyage transfer money to my bank account?

Voyage records employee advances, approvals, reimbursement balances and payments. Finance arranges employee bank transfers outside Voyage and records the reference. A paid status is not a bank confirmation. Company subscription checkout is a separate payment flow.

Read the step-by-step instructions
What is the difference between an advance and a reimbursement?

An advance is approved money provided before travel. The final reimbursement claim assesses actual eligible mileage and expenses after the trip is completed. Any advance already paid reduces the remaining amount due, or creates a balance the employee must return.

Read the step-by-step instructions
How do I add a receipt?

Open Expenses and choose Add expense, or use Add Expense from the trip summary. Choose the travel request and attach a receipt photo. Check the amount, date, merchant and category yourself before saving or submitting. Automatic receipt reading is currently unavailable, so enter the financial details from the photo manually.

Read the step-by-step instructions
Where do I find and submit a saved expense draft?

Open Expenses to see your records and statuses. Choose Edit or submit draft on a draft, check its details and use the form action to save or submit it. Saving changes updates the same draft. Submitted, approved and rejected records are read-only here; GPS-calculated lines are managed with the final claim.

Read the step-by-step instructions
Do I need to submit a final claim if I already submitted receipts?

Yes. Expense entry and the final claim are separate steps. After completing and syncing the trip, review Reimbursement in the trip summary and use Submit claim when available. The claim brings together unclaimed expenses, eligible mileage and any paid advance.

Read the step-by-step instructions
Can I submit a claim without receipts or expense lines?

Receipt requirements depend on your company’s policy and the type of expense. A zero-expense claim can be valid for assessed mileage or settlement of a paid advance; it is not a general way to bypass receipt rules. Read any submission error and ask finance if you need help.

Read the step-by-step instructions
What happens if I spent less than the advance?

The final approved amount is compared with the advance already paid. If the advance is larger, the difference is an amount you must return. If the approved amount is larger, the difference is additional reimbursement due. Arrange the transfer or repayment with finance.

Offline use, privacy and billing

Can I work without internet?

The mobile app caches some information and queues supported changes; GPS fixes can upload after reconnecting. Initial sign-in, address lookup, estimates and receipt processing may require a connection. Read pending-sync messages and confirm the server status after reconnecting.

Read the step-by-step instructions
Should I reinstall the app to fix a stuck sync?

Preserve unsynced work first. Reconnect, inspect sync status and retry where available. Clearing storage, uninstalling or discarding a pending draft can lose work that has not reached the server. Report the precise error to your administrator before taking those steps.

Read the step-by-step instructions
Can I choose which personal information my company sees?

Privacy controls include separate choices for sharing emergency contacts, vehicles, favourite destinations, home address and banking details. Location tracking and manager visibility are separate settings. Shared information remains subject to company access permissions.

Read the step-by-step instructions
What if I turn off trip location tracking?

Trips can proceed without a GPS trail, but a route estimate does not satisfy the evidence needed for automatic actual-mileage reimbursement. Understand the effect on your claim before switching tracking off, and discuss company requirements with your administrator.

Read the step-by-step instructions
Can I opt out of ride-share suggestions?

Yes. Review Ride-share suggestions in Privacy controls. Matching and appearance on the ride-share leaderboard are separate choices. Turning off matching removes you from suggestions.

Read the step-by-step instructions
Where do I change the plan or download subscription invoices?

An authorised billing administrator uses Billing & plan on the web. Check country, seats, tax details and the final checkout amount there. Subscription charges are for the company’s use of Voyage and are separate from employee expense reimbursements.

Read the step-by-step instructions
Who should I contact when something is wrong?

Start with your company administrator for access, workspace and app setup questions, your manager for approval questions, and finance for policy or payment questions. Include the request identifier and exact error, and exclude passwords or full bank details.
